Your replies are not for the reviewer. The reviewer has left, is not coming back, and is not reading. Your replies are for the next person deciding whether to call you, and once you accept that, most of what makes replies hard disappears.

The reply that works, in about forty words

Three parts, in this order.

Acknowledge the specific thing. Not “we’re sorry you had this experience”, which reads as a form letter, but the actual issue named in the review.

Say what changed because of it. This is the part that persuades a reader, because it tells them the problem was fixed rather than absorbed.

Offer a route off the page. One contact, once. Do not invite them to call a manager if nobody will answer.

Then stop. Long replies read as defensive regardless of content, and a reply longer than the review makes the review look important.

What not to do, all of which is common

  • Do not dispute the facts publicly. A reader cannot verify who is right and will assume the business is arguing with a customer.
  • Do not mention that they were never a customer in the reply if you are also reporting it. Report first, reply after, because a reply confirms engagement and weakens the report.
  • Do not reply at all to a review containing personal details about staff before reporting it. Your reply confirms the detail and pushes the review up the page.
  • Do not use identical wording. Ten replies with the same sentence look automated, because they are, and readers notice.
  • Do not reply only to negatives. A profile where the owner appears solely to defend against complaints reads worse than one where they thank people too.

AI replies, and where they break

Generated replies converge. Left unedited across fifty reviews they produce recognizable sameness, which defeats the purpose. The tools that work well draft and then require a human to change something.

Broadly runs a unified inbox across Google, Facebook, Instagram and web chat from around 200 dollars a month, so replies sit alongside the conversations that produced them. Acquired by Vendasta in 2023. No published pricing, no free trial.

GoHighLevel is 97 dollars a month with a Reviews AI tool drafting replies inside a broader CRM and marketing suite. Worth it only if you want the rest. Usage charges for email, SMS, phone and AI bill on top, and the learning curve is steep.

How fast, and does it matter

Within a few days is fine. Within an hour is not better, and it can look automated.

What matters far more is consistency. A profile with replies on everything from the last two years reads as a business that pays attention. A profile with a burst of replies from one week in March reads as a business that panicked once.

Set a weekly slot, reply to everything from that week, and stop worrying about response time.

The one reply worth writing carefully

If a review is factually wrong and you are reporting it, your public reply should be short, neutral, and free of any detail that confirms engagement. Something that notes you have no record matching the description and invites direct contact.

That version keeps the report clean and still shows the next reader that you responded. Anything more argumentative gives the reviewer material and gives Google a reason to treat it as a dispute rather than a policy breach.
